The Role: Your Impact
As our Office Manager, you are the heartbeat of the agency. Your primary mission is to provide a "white-glove" experience for our clients while allowing our sales team to focus on growth. You aren't just managing tasks; you are owning the entire client relationship—from the first warm greeting to the meticulous details of a policy renewal.
We are looking for a "Servant-Leader"—someone who finds genuine satisfaction in solving problems, streamlining workflows, and ensuring that no detail falls through the cracks.
Core Responsibilities
You will have full ownership over the following areas:
1. Client Service & Problem Solving
Frontline Ownership: Greet clients (in-person, phone, text, email) with an upbeat, professional attitude.
Documentation Support: Promptly provide proof of insurance and policy summaries when requested by clients or banks.
Problem Solving: Act as the first line of defense for client questions, troubleshooting issues independently so the owner can focus on high-level growth.
2. Renewals & Workflow Management
Proactive Outreach: Manage the 4-week renewal process, ensuring we contact every client multiple times before their policy renews so they feel valued and protected.
Policy Activation: Finalize and activate home and auto insurance coverage following strict checklists to ensure 100% accuracy.
System Management: Monitor our database for missed payments or cancellations, and assist clients with safe-driving apps and discount programs.
3. Office Operations & Team Culture
Office Continuity: Manage supplies, mail, and updated lender/bank information.
Team Atmosphere: Coordinate team planning days, prepare meeting agendas, and lead the charge in celebrating staff birthdays and milestones.
